Part 4 of 10 | WhatsApp Business for Beginners
Learning goals Distinguish automatic greetings and away responses from selected quick replies, prepare a small reply library and test it safely. Your output is a message library with trigger notes and a review schedule.
Before you begin Allow 90 minutes. Draft messages in Notes before changing a live business account. In WhatsApp Business, find Business tools or Tools through the available menu or settings. Locate Greeting message, Away message and Quick replies if offered. If a control is absent, consult the app's current Help; a paper configuration plan is acceptable.
Give each message a clear job A greeting welcomes a person when the app's greeting conditions are met. An away response explains your availability according to its configured schedule and recipient choices. A quick reply is saved wording you select while replying. These tools do not automatically know your current stock, investigate a complaint or decide whether a payment has arrived.
Do not write every message as if a person has personally read the enquiry. An automated welcome can say the business has received the message and explain its response hours. It should not say that an order is confirmed or that someone has checked an attachment when neither has happened. Set honest expectations about the next human response.
Write a useful greeting A draft for Sainabou's shop is: Thank you for contacting our stationery shop. Please tell us the item and quantity you need. We check messages during our published service hours and confirm stock before collection. This gives the customer something useful to do without asking for excessive personal information.
Keep the greeting brief enough that it does not bury the customer's own question. Avoid repeating a long catalog, price list and privacy notice in every welcome. Link to supporting information where appropriate and verified. Review the app's actual recipient options and activation conditions rather than assuming the same interval or behaviour on every version.
Make away messages match reality An away message should say when a customer can reasonably expect a reply. For example: We are away from messages this evening. We plan to reply tomorrow during our published service hours. Your message has not confirmed an order. Please avoid sending payment until we agree the details. Adapt the wording to the business's real operating process.
Check the schedule and selected recipients before enabling it. If the schedule depends on business hours, inspect those hours as well. A temporary closure may require different wording from an ordinary evening. Do not leave tomorrow in a message that will run unchanged through a week-long closure. Review phone connectivity and app behaviour during a controlled test.
Build a small quick reply library Start with recurring facts such as opening hours, collection instructions, information needed for a quote and the next step for a complaint. Give each saved reply a memorable shortcut or label using the controls the app provides. In versions supporting shortcut entry, a slash can help select a saved reply, but inspect the composer rather than relying on an old screenshot.
Use obvious placeholders in drafts, such as ITEM, TOTAL and COLLECTION TIME. Before sending, replace every placeholder and check the recipient. A saved reply should reduce retyping, not remove judgement. If the customer's question is different, edit the answer or write a fresh one. An apology template that ignores the actual complaint can make the situation worse.
Test and maintain the library Use a consenting partner and non-sensitive information to check what the recipient actually receives. Write down the intended trigger, actual result and any duplicate or misleading response. If the tool does not behave as expected, inspect the current help and configuration before assuming the customer ignored it. A preview alone may not reproduce real delivery conditions.
Set a review date for messages containing times, addresses, prices or procedures. Keep one approved master copy so helpers do not maintain conflicting versions. If a quick reply quotes a price, decide who updates it when prices change. Remove obsolete wording from the active library while preserving any records the business legitimately needs.
Guided exercise 1. Draft one greeting and one away message. State what each should achieve and what it must not imply about order or payment status.
2. Prepare four quick replies covering hours, quote questions, collection and a complaint acknowledgement. Mark any variable information clearly.
3. Locate the available tool controls or draw the configuration on paper. Record the schedule and recipient choices you would review before enabling automatic responses.
4. Select one quick reply for a simulated customer and replace all placeholders. Check the final message for relevance and accuracy.
5. Test with an agreed partner if appropriate, or explain the test procedure. Record one maintenance trigger, such as changed hours, and who will update the library.
Knowledge check 1. Is a quick reply the same as an automatic chatbot?
2. Why is a permanent promise to reply tomorrow risky?
3. What must happen to placeholders before sending?
Answer guide 1. No. It is saved wording selected for a response; it does not independently understand the conversation.
2. Closures and schedule changes can make it inaccurate.
3. Replace them with verified details and review the entire reply.
Completion standard Complete a greeting, away response and four accurate quick replies, with documented configuration and a test or test plan. Answer all questions and show that no template implies unverified stock, payment or acceptance. Do not enable automation on a live account until its wording and audience are appropriate.
