Part 2 of 10 | WhatsApp Business for Beginners

Learning goals Write a useful business description, select appropriate public contact details and review the customer-facing profile. Your output is a complete profile draft and a regular review checklist.

Before you begin Allow 75 minutes. Bring the account readiness sheet and information you are authorised to use. Work in Notes if the business is not ready for a public profile. Menu names can differ between Android, iPhone and app versions. Find Business tools or Tools through the app's settings or menu, then look for Business profile.

Write for a first-time customer A profile should answer what you provide, who it is for, where it is available and how to enquire. Use a business name customers can recognise and an accurate category. Avoid stuffing the name with prices, unrelated keywords or claims that imply a connection to another organisation. A clear description makes it easier to decide whether to start a conversation.

For the fictional shop, a draft might say: Notebooks and everyday stationery for local collection. Message with the item and quantity you need. We confirm availability and collection time before you travel. This explains the scope and next step without claiming that every item is always in stock or that the shop delivers everywhere.

Choose a readable picture and accurate links Use a logo you own or a clear business image that remains recognisable at a small size. Do not use someone else's trademark or an official-looking badge to imply approval you do not have. A professional profile is built through accurate information and reliable service, not through copying a trusted brand's appearance.

If you include a website or email address, check the exact spelling and open the link. It should lead to the intended business page, not an abandoned site or unrelated account. A contact route is useful only if someone checks it. Choose fewer reliable channels rather than publishing several addresses that will never receive a response.

Set hours and location deliberately Enter the hours during which the stated service is available and explain any appointment requirement. Shop opening hours and message-response hours can differ, so clarify that distinction in the description or reply information. When a holiday or temporary closure changes the promise, update the relevant details rather than hoping an old away message will explain everything.

Publish a premises address only when it is appropriate for customers to know and visit. A home-based worker may need to describe a service area or appointment arrangement in text rather than expose a private home. If a location field is offered, verify the pin and entrance before using it. Do not invent a physical shop merely to appear more established.

Include support and privacy information WhatsApp's Business Messaging Policy calls for accurate profile and customer-support information and prohibits misleading identities. It also places responsibility for necessary data notices, permissions and a published privacy policy on the business. Prepare an accessible privacy notice appropriate to your real activities and obtain local advice if you are unsure of legal obligations.

A practical notice should explain what customer information you collect, why you use it, who may access it and how customers can contact you about it. Drafting those points is a starting exercise, not a claim of legal compliance. Do not copy another company's notice if it describes systems, partners or practices you do not actually use.

Review the profile as a customer would Save only information you are authorised to publish. Where a preview or profile view is available, inspect the name, picture, description, links, hours and location. If using a consenting partner's phone to review the public view, ask them what the business does and how they would enquire. Their misunderstanding may reveal a vague description or missing condition.

Keep a master information sheet outside the app so the same details can be used on signs, the website and other listings. Record who reviews the profile and what triggers an update: changed hours, a new location or a different service. Consistency helps customers distinguish the real business from outdated information and impersonation attempts.

Guided exercise 1. Draft a business name, category and two-sentence description. State the offer and one clear next step without using unsupported claims such as cheapest or guaranteed best.

2. Choose an authorised image and list its source. Check whether it remains understandable as a small profile picture.

3. Prepare response hours, public contact details and a location or appointment description. Explain why any private address is omitted.

4. Draft the main points of a privacy notice using only your actual practices. Identify any legal question requiring advice before publication.

5. Review the draft with a learning partner or in the app. Ask them to describe the business in one sentence, then correct anything misleading or unclear.

Knowledge check 1. Should a profile imply that you represent a brand without permission?

2. Must a home-based business automatically publish a private home address?

3. Why must a privacy notice match actual business practices?

Answer guide 1. No. Identity and affiliation must be accurate.

2. No. Choose appropriate public contact and service information without inventing a premises or exposing unnecessary private details.

3. Customers need a truthful explanation of how their information is handled; copied claims can be inaccurate.

Completion standard Complete every relevant profile field or document a reason for leaving it out. Test links, reconcile service hours and obtain a clear explanation from a reviewer. Answer all checks correctly and record a review date. A complete paper draft is acceptable when publication is not appropriate.
