Part 6 of 10 | WhatsApp Business for Beginners

Learning goals Create a simple label system, maintain an order register and reconcile conversation status with real actions. Your output is a labelled practice workflow and three sample order records.

Before you begin Allow 90 minutes. Use fictional conversations or a consenting partner. Bring the quotation and catalog exercises. Do not apply experimental labels to another person's customer records. Menu names and label controls vary, so begin with a paper workflow and implement only the parts supported by the account.

Choose labels that describe the next action Useful labels can include New enquiry, Quote sent, Awaiting customer, Preparing order and Ready for collection. Keep the system small enough to review each working day. A label should help someone decide what to do next, not merely make a conversation colourful. Write a short definition for every label so helpers use the same meaning.

You may need separate attention flags, such as Complaint needs review, alongside an order stage. If a chat contains several orders, one label cannot reliably describe every order's status. Keep an order register with separate references and use labels as a navigation aid. Do not pretend a label turns a messaging app into a complete stock or accounting system.

Apply and review labels consistently Find Labels in the Business tools or Tools area where available, or inspect the chat's menu for a label action. Create only the labels needed for your practice workflow. Apply one to a harmless test chat, then use the label view or filter to retrieve it. If the control is absent, document the equivalent manual tracking step.

Change a stage when the underlying event actually happens. Move from Quote sent to Preparing order only after the appropriate agreement and business conditions are met. Marking a chat read, archiving it or pinning it does not prove work was completed. Review outstanding tasks before moving a conversation out of everyday view.

Create a compact order record Record an order reference, date, item, quantity, agreed total, collection or delivery plan, payment status and next action. Use only the customer details needed for fulfilment and an appropriate contact route. Keep the register private. A notebook works if it is secure and updated consistently; a spreadsheet is optional.

For PRACTICE 01, record two A5 notebooks, D240 collection total, awaiting explicit customer acceptance. For PRACTICE 02, record one pen pack with an agreed collection date and payment not yet verified. For PRACTICE 03, record a completed collection and the evidence used to close the order. These examples teach stages, not real transactions.

Verify payment independently A screenshot or forwarded message is not your own evidence that money arrived. Before changing payment status, use your provider's trusted records to confirm the amount and transaction status. If the transfer is pending or unclear, keep it unresolved and explain the next check to the customer. Do not ask for a password, PIN or one-time code to investigate.

This is a general verification routine, not instructions for a particular mobile-money provider. Fees, account requirements, settlement and reversal procedures differ. Confirm those through the provider's official guidance before adopting a payment method. If someone claims an overpayment, investigate through the original records and official support rather than sending money to a new destination under pressure.

Handle stock fulfilment and closure Before promising collection, confirm the goods are reserved or available according to your business process. Keep the quantity consistent between chat, order register and stock record. If the order changes, record the revised agreement rather than leaving two different totals unexplained. Notify the customer early if a delay affects their plan.

Close the order only when the agreed work and relevant checks are complete. Record any remaining issue, such as an uncollected item or unresolved complaint. A closed order may still require records to be retained under applicable obligations. Do not delete every chat at the end of the day or treat labels as a substitute for an appropriate retention policy.

Guided exercise 1. Define five stage labels and one attention flag. For each, state the event that moves an order into and out of that stage.

2. Create three fictional order records. Ensure each has a reference, item, total, fulfilment arrangement, payment status and next action.

3. Apply labels to practice chats where appropriate or use paper cards. Retrieve all items awaiting customer action without reading every conversation from the start.

4. Role-play a customer sending a payment screenshot while the provider record is unclear. Keep the status unresolved and write a polite verification reply.

5. Change one order's quantity and update its total and stock requirement. Record the revised customer agreement and identify what evidence is needed before closure.

Knowledge check 1. Does a Paid label prove money arrived?

2. Why can one chat label be insufficient for several orders?

3. What should happen when a payment record is unclear?

Answer guide 1. No. The label must reflect an independently verified transaction.

2. The orders may be at different stages and need separate references and records.

3. Leave payment unresolved, check trusted provider records and use official support where needed.

Completion standard Produce clear label definitions and three complete, consistent order records. Demonstrate a status change based on evidence and a safe payment exception. Answer all questions. You should be able to find every outstanding practice action without relying on memory or unread-message markers.
