Part 7 of 10 | WhatsApp Business for Beginners

Learning goals Distinguish public entry points from permission to send promotions, test a business link and plan an appropriate update. Your output is an entry-point draft and a small communication permission register.

Before you begin Allow 90 minutes. Use paper drafts or a consenting learning partner. Do not send a broadcast, publish an advert, create a customer group or upload contact lists as practice. Some features are restricted by eligibility, account and country; use only the options actually available and authorised for your business.

Make it easy to start a relevant conversation A business short link or contact QR code can help someone open a chat. Find the business entry-point tools offered in your installed app. Add a clear nearby instruction such as Ask about notebook stock, so people know what will happen. If a suggested message is available, keep it generic and free of private customer details.

Test the link from a separate safe view and confirm the intended business identity and number before printing or publishing. A contact QR code is different from a device-linking QR code. Never put a login or device-linking QR code on a flyer. Scanning or sharing the wrong kind of code can create account-access risk rather than a customer enquiry route.

Treat an enquiry according to its purpose A customer asking about one order is not automatically requesting continuing promotions. Record the communication they actually expect and offer an understandable choice about later updates. WhatsApp's policy requires the number to have been provided and permission for subsequent contact. It also requires respecting opt-outs. The permitted collection method must comply with applicable law.

As a practical course standard, ask clearly before adding someone to a promotional audience. Explain the business, topic, intended frequency and how to stop. For example: Would you like occasional stationery stock updates from us on WhatsApp? You can ask us to stop at any time. This is sample wording to adapt, not a legal consent form guaranteed to cover every situation.

Keep a permission and suppression record Record the date, source and scope of a person's agreement in a private register. Use the minimum information necessary to recognise the preference. A saved phone number or a previous purchase alone does not describe what future communication the person agreed to. Do not buy contact lists or scrape numbers from groups to create an audience.

If someone says stop through any channel, action the request promptly, remove them from the relevant contact and sending lists as required, and prevent accidental re-addition. Keep only the minimal suppression evidence needed and lawfully retained to honour that preference. Do not send a final sales pitch disguised as an opt-out confirmation.

Choose the right communication format A direct reply is useful for an individual enquiry. A Status update can show timely general information to its selected audience, subject to the app's privacy controls. A group creates a shared conversation and may expose participant information, so it should not be the default way to contact unrelated customers. Review the audience before publishing anything.

Broadcast features send messages to multiple people through the options offered by the account. Traditional lists and newer Business Broadcasts can differ in delivery conditions, eligibility, charges and reporting. The official features page limits newer Business Broadcasts to eligible users in selected countries. This course does not assert a fixed list limit, universal saved-number requirement or availability in The Gambia.

Write an update worth receiving Choose one useful point, a truthful availability statement and one next step. For example: A5 notebooks are available for collection after confirmation. Reply with your quantity and preferred collection day. Check actual stock before posting. Avoid false countdowns, misleading discounts and messages so frequent that customers cannot reasonably keep up.

Before any paid broadcast or advertisement, inspect the current terms, audience, total budget and stopping controls. This course requires no paid campaign. Start with a small, expected communication plan and observe complaints and opt-outs as well as responses. More messages do not necessarily create more trust or better sales.

Guided exercise 1. Draft a contact-link caption and identify the official app control that provides the link or contact QR. Explain how it differs from a device-linking code.

2. Test the destination with an agreed partner or describe the verification process. Do not publish a link pointing to a personal or incorrect number.

3. Prepare sample permission wording and a register with date, source, scope and current preference. Use fictional people in the exercise.

4. Write one Status draft and one optional customer-update draft. Specify the intended audience and why the message is relevant to them.

5. Process a fictional stop request by updating the register and audience plan. Record a check that prevents the person being added again accidentally.

Knowledge check 1. Does saving a customer's number automatically authorise promotional messages?

2. Are a contact QR code and a device-linking QR code interchangeable?

3. Can every account assume identical broadcast pricing and delivery rules?

Answer guide 1. No. Obtain and respect an appropriate permission for the communication.

2. No. One opens a contact route; the other can authorise account access.

3. No. Inspect the current feature, eligibility, terms and account settings.

Completion standard Produce a tested or correctly specified contact entry point, two relevant message drafts and a permission register that handles opt-outs. Answer all questions correctly. No broadcast, customer group, paid campaign or public post is required to pass.
