Using Pictures Icons Shapes and SmartArt

Add visual material that clarifies ideas while preserving quality, alignment and accessibility.

Add visual material that clarifies ideas while preserving quality, alignment and accessibility.

What you will learn

  • Insert and crop pictures correctly
  • Arrange shapes and icons neatly
  • Use SmartArt only when it improves understanding

Before you begin

Use a practice presentation and non-sensitive sample information. PowerPoint versions can place commands differently, so use the ribbon search box when a named command is not immediately visible. Save before making major changes.

Work with pictures

Insert a clear, relevant image from a source you are allowed to use. Crop to remove distractions while keeping the subject recognisable.

Resize with corner handles to preserve proportions. Compress pictures when file size matters, but keep enough quality for the intended display.

Arrange visual objects

Use Align and Distribute to create orderly spacing. Group related objects so they move together, and use the Selection Pane when objects overlap.

Keep objects inside slide boundaries and avoid covering titles or essential text. Decorative clutter competes with the message.

Use diagrams purposefully

SmartArt can explain a process, hierarchy, cycle or relationship. Choose a layout that matches the actual meaning instead of forcing information into an attractive shape.

Add alternative text to meaningful visuals and describe essential information aloud. Mark purely decorative objects appropriately when supported.

Guided practice

  1. Insert and crop one relevant picture.
  2. Create three shapes, align them and distribute them evenly.
  3. Build a simple three-step process diagram.

Knowledge check

  1. Which resize handles preserve image proportions?
  2. What does the Selection Pane help manage?
  3. When is SmartArt appropriate?

Completion standard

Continue when you can complete the guided practice and explain the knowledge-check answers in your own words.
