Microsoft PowerPoint for Beginners ยท Part 3

Writing Clear Slide Content

Turn ideas into concise slide titles, readable text and useful speaker notes.

Turn ideas into concise slide titles, readable text and useful speaker notes.

What you will learn

  • Write message-led slide titles
  • Reduce dense paragraphs without losing meaning
  • Separate slide content from speaker notes

Before you begin

Use a practice presentation and non-sensitive sample information. PowerPoint versions can place commands differently, so use the ribbon search box when a named command is not immediately visible. Save before making major changes.

Write strong titles

A title should tell the audience what the slide is about. When appropriate, make it a short conclusion such as Sales improved after the campaign rather than a vague label such as Results.

Use consistent grammar and capitalisation across slide titles. Avoid titles that wrap into several lines.

Keep text readable

Use short phrases and a limited number of bullets. Remove repeated words, unnecessary background and sentences that the presenter will explain aloud.

Bullets should be parallel in structure. Use numbered lists for steps or order and ordinary bullets for items without a required sequence.

Use speaker notes

Speaker notes hold explanations, examples, reminders and sources that do not need to appear on the slide. They support the presenter without crowding the audience view.

Do not write a hidden essay that is impossible to deliver naturally. Practise speaking from short prompts.

Guided practice

  1. Rewrite three vague slide titles as clear messages.
  2. Turn one paragraph into no more than five concise bullets.
  3. Add short speaker notes to two slides.

Knowledge check

  1. When is a numbered list better than bullets?
  2. What belongs in speaker notes?
  3. Why should slide text be concise?

Completion standard

Continue when you can complete the guided practice and explain the knowledge-check answers in your own words.
