Reviewing Collaborating and Making Slides Accessible

Check accuracy, gather feedback and make the presentation usable for more people.

Check accuracy, gather feedback and make the presentation usable for more people.

What you will learn

  • Use comments and version-aware collaboration
  • Run spelling and accessibility checks
  • Improve reading order links and alternative text

Before you begin

Use a practice presentation and non-sensitive sample information. PowerPoint versions can place commands differently, so use the ribbon search box when a named command is not immediately visible. Save before making major changes.

Collaborate safely

Comments let reviewers discuss a specific slide or object without placing feedback in the presentation itself. Resolve comments only after the issue has been handled.

When co-authoring through supported cloud storage, confirm that collaborators are editing the intended file. Keep a backup before major restructuring.

Check the presentation

Run spelling and grammar checks, verify numbers and sources, and inspect every slide for consistency. Use Presenter Coach or rehearsal tools when available to improve delivery.

The Accessibility Checker identifies many issues but does not replace human review. Check meaningful images, colour contrast, captions and link wording.

Set reading order

Assistive technology follows an object order that may differ from the visual arrangement. Use the Reading Order or Selection Pane to put objects in a logical sequence.

Give links descriptive wording and add unique slide titles. Avoid relying only on colour, position or spoken explanation.

Guided practice

  1. Add and resolve a practice comment.
  2. Run spelling and accessibility checks.
  3. Inspect alternative text and reading order on a visual slide.

Knowledge check

  1. What should happen before resolving a comment?
  2. Does Accessibility Checker find every problem?
  3. Why does object reading order matter?

Completion standard

Continue when you can complete the guided practice and explain the knowledge-check answers in your own words.
