Excel for Beginners Part 9 Cleaning Text and Dates

Correct spacing, combine and split text, and work with real Excel dates before analysis.

Correct spacing, combine and split text, and work with real Excel dates before analysis.

What you will learn

  • Clean inconsistent text
  • Combine and extract text safely
  • Recognise and calculate with valid dates

Before you begin

Open Microsoft Excel or another spreadsheet application that supports standard Excel formulas. Create a practice copy so mistakes are safe to undo. Complete each action yourself rather than only reading it.

Clean imported text

TRIM removes extra spaces between words and at the edges. CLEAN removes many non-printing characters copied from other systems.

UPPER, LOWER and PROPER change letter case. Review names after PROPER because abbreviations may need manual correction.

Combine and split

Use =A2&" "&B2 or TEXTJOIN to combine names. Text to Columns can split consistent delimited data.

Functions such as LEFT, RIGHT and MID extract known positions. Prefer structured source columns when positions vary.

Work with dates

Excel stores valid dates as serial numbers and displays them with date formatting. A date stored as text will not sort or calculate reliably.

TODAY returns the current date. Subtracting an earlier valid date from a later one returns elapsed days.

Guided practice

  1. Paste a list containing extra spaces and inconsistent name case.
  2. Clean it with TRIM and PROPER.
  3. Combine first and last names into a Full Name column.
  4. Create Start Date and End Date values and calculate elapsed days.

Knowledge check

  1. What does TRIM remove?
  2. Why can a date that looks correct still fail in calculations?
  3. Which operator can join text values?

Completion standard

You are ready for the next part when you can complete the guided practice without copying the instructions word for word and can answer the knowledge-check questions in your own language.
