Excel for Beginners Part 4 Essential Functions

Use SUM, AVERAGE, MIN, MAX, COUNT and COUNTA to summarize a worksheet confidently.

Use SUM, AVERAGE, MIN, MAX, COUNT and COUNTA to summarize a worksheet confidently.

What you will learn

  • Use function syntax and ranges
  • Choose the correct summary function
  • Check totals for missing or incorrect data

Before you begin

Open Microsoft Excel or another spreadsheet application that supports standard Excel formulas. Create a practice copy so mistakes are safe to undo. Complete each action yourself rather than only reading it.

How functions work

A function packages a common calculation. =SUM(B2:B10) adds every numeric value from B2 through B10.

Type the opening formula and select the range with the mouse. Confirm that Excel highlighted the cells you intended.

The essential six

SUM adds values. AVERAGE finds the arithmetic mean. MIN and MAX return the smallest and largest numeric values.

COUNT counts cells containing numbers. COUNTA counts non-empty cells, including text. The difference is useful when checking records.

Build a summary area

Place summary labels and formulas outside the raw data. Give each result a clear label such as Total Sales or Highest Expense.

A plausible-looking total can still be wrong. Compare the selected range with the first and last data rows and scan for numbers stored as text.

Guided practice

  1. Create a list of twelve weekly sales amounts.
  2. Calculate total, average, minimum and maximum sales.
  3. Use COUNT to verify twelve numeric entries.
  4. Temporarily replace one number with text and observe the COUNT result.

Knowledge check

  1. Which function counts text and numeric non-empty cells?
  2. What does B2:B10 mean?
  3. Why should you inspect a formula range?

Completion standard

You are ready for the next part when you can complete the guided practice without copying the instructions word for word and can answer the knowledge-check questions in your own language.
