Learn how Word documents are organised, use the ribbon, create a document and save it safely.

What you will learn

  • Recognise the main areas of the Word window
  • Create, name and save a document
  • Open, close and recover recent work

Before you begin

Open Microsoft Word and work in a practice copy. Commands can move slightly between Word versions, but the named tabs and principles remain consistent. Perform each task yourself and save regularly.

Understand the workspace

A Word file is a document. The insertion point shows where typed text will appear. The ribbon groups commands under tabs such as Home, Insert, Layout, References, Review and View.

The status bar shows information such as page number and word count. Use the zoom control for viewing comfort; zoom does not change the printed size.

Create and save

Choose Blank document, type a short heading and paragraph, then select File and Save As. Use a descriptive filename and choose a folder you can find again.

The standard .docx format keeps modern Word features. Save early with Ctrl+S and allow AutoRecover or cloud AutoSave when available.

Open and recover

Use File and Open or the recent-document list. If Word closed unexpectedly, inspect the Document Recovery pane before continuing.

Close the document only after confirming that the latest changes were saved.

Guided practice

  1. Create a document named Word Practice Part 1.docx.
  2. Type a heading and two paragraphs about yourself.
  3. Save, close and reopen the document.
  4. Change the zoom level and observe that the text itself does not change size.

Knowledge check

  1. What does the insertion point show?
  2. Which format should normally be used for an editable Word document?
  3. What shortcut saves the current document?

Completion standard

Continue when you can complete the practice without copying every instruction and can explain the knowledge-check answers in your own words.
